Protocol for Donations

MEMO TO: UNIVERSITY COMMUNITY
RE: PROTOCOL FOR DONATIONS


In order to maintain and strengthen our good relations with our valued benefactors and donors, I would like to enjoin the community to observe the University’s protocol on accepting and processing donations.

As a general rule, all donations to AdZU (cash, check or goods) received by any individual or office should be remitted or endorsed to the proper office or unit concerned following official procedures.

For CASH/CHECK DONATIONS

  1. Remit donation to the Finance Office.
  2. Get an official receipt.
  3. Submit the official receipt to the Office of Alumni Affairs and Development (ARDO) through Ms Sheila L Pagotaisidro, Donor Relations Officer, for proper documentation, (i.e, preparation of “thank you” letter, donation form and recording in the database).

For DONATIONS IN KIND (GOODS)

  1. Endorse to the beneficiary/recipient-office.
  2. Submit the list of items donated to the Office of Alumni Affairs and Development (ARDO)

For donations to be properly acknowledged by the President, such protocols are to be followed strictly. Individuals or offices who receive donations in behalf of the university or are beneficiaries of donations should fill out the official donation form  and must furnish a copy to the Office of Alumni Relations and Development.
